The HR Assistant provides administrative and operational support to the Human Resources department. This position assists with recruiting activities, prepares offer letters, and supports employee engagement initiatives. The HR Assistant also contributes to HR technology management by assisting with the applicant tracking system, HRIS data entry, reporting, and process improvements. This role is critical in delivering a positive candidate and employee experience while supporting the overall efficiency of the HR function.

Responsibilities

  • Draft, issue, and track offer letters and related documentation.
  • Assist with recruiting activities, including posting job openings, screening resumes, scheduling interviews, and coordinating pre-employment testing.
  • Represent the company at college and career fairs, engage with candidates, and support follow-up communication.

  • Maintain accurate and up-to-date employee records, both electronic and hard copy, in accordance with legal and company requirements.

  • Support volunteer programs, employee engagement initiatives, and recognition events by coordinating logistics and communications.
  • Respond to candidate inquiries regarding the applicant process, escalating issues as appropriate.
  • Coordinate meetings, prepare agendas, document minutes, and track follow-up action items.
  • Maintain confidentiality of sensitive employee and candidate information at all times.

Qualifications

  •  Associate’s degree required; Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • 1–2 years of experience in human resources, recruiting, or administrative support preferred.

  • Experience with HRIS or ATS systems required; ability to learn new systems quickly.

  • Knowledge of HR processes and best practices; familiarity with employment laws and compliance requirements is a plus.

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

  • Excellent written and verbal communication skills.

  • High level of professionalism, discretion, and integrity in handling confidential information.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).

  • Demonstrated ability to build strong working relationships and provide excellent service to candidates, employees, and managers.
